- To protect your data against accidental deletion or corruption.
- To enable unlimited retention of your data. Microsoft provide only limited retention.
- Because not all cloud services provide comprehensive backup, e.g., see sections 2.a and 6.b of Microsoft Service Agreement below:
Section 2.a, ‘Your Content’ – “We strongly advise you to make regular back-up copies of your content. Microsoft can’t be held responsible for your content or the material others upload, store or share using our Services”.
Section 6.b, ‘Service Availability’ – “We strive to keep the Services up and running; however, all online services suffer occasional disruptions and outages. In the event of an outage or disruption to the Service, you may temporarily not be able to retrieve Your Content. We recommend that you regularly backup Your Content and Data that you store on the Services or store using Third-Party Apps and Services.”

The Backup Rule of Three
or Backup 3-2-1 Rule
Are you familiar with Schofield’s Second Law of Computing? It asserts that data doesn’t really exist unless you have two copies of it, preferably more. And the only person who can be held responsible for that is you. We believe that to ensure your data is always available no matter what, you should adopt the Backup 3-2-1 Rule:
Keep 3 copies of your data
It is important to maintain at lest 3 copies of any data that you care about. Naturally, you never want to keep all your eggs in one basket. The first of the three copies is what you work with. The other two copies are replicas to ensure AVAILABILITY and REDUNDANCY.
Removable USB & NAS drives are very useful as part of a backup strategy for quick restoration of data. However, relying on these alone makes it just a matter of time before data is lost due to failure or theft.
Use at least 2 formats
Again this is a matter of spreading the risks. Different storage media have differing strengths and weaknesses in terms of redundancy, and one media format outlives the other. E.g., USB Hard Drive + DVD disks, Raid arrays, NAS Drives.
For small business only needing to backup data from PC’s and the devices, local backups can be achieved using an inexpensive combination of NAS and USB SSD drives.
Store 1 copy online
In the event of a disaster such as an earthquake, water or fire damage, you need to know that your data is still safe and available. Storing a backup off-site, in another geographical location, gives you that vital immunity against complete data loss.
Ideally you would want to choose a backup solution that automatically replicates your off-site data across two separate data centres, located in different cities for greater redundancy.
